How AI reads supplier invoices automatically — and why OCR alone isn't enough

Invoices scattered across Gmail, WhatsApp, a shared drive, and a drawer are a bookkeeping problem before they're an AI problem — and OCR that just converts an image to text doesn't fix the actual bottleneck: collecting from everywhere, avoiding double-counting, and reconciling it all into one number you can trust.

Why OCR alone doesn't solve this

OCR — optical character recognition — turns a scanned or photographed invoice into machine-readable text. That's necessary, but it's the easy 20% of the problem. The hard 80% is everything around it: the invoice arrived by email today, on WhatsApp yesterday, and as a photo of a paper receipt last week. Someone the supplier's account manager forwarded twice by accident, so it needs to be caught as a duplicate before it inflates what you owe. And a rotated phone-camera scan of a Hebrew invoice needs to read correctly, not just "mostly."

What actually needs to happen

  1. Pull from every channel automatically — Gmail, shared drives, WhatsApp, and invoicing platforms like Green Invoice, without someone forwarding things manually.
  2. Read reliably, including the messy cases — Hebrew text and rotated phone-camera scans, not just clean PDF exports.
  3. Catch duplicates before they count twice — the same invoice forwarded from two channels shouldn't inflate what's outstanding.
  4. Put outstanding, overdue, and paid on one board — a single number you can trust, not four spreadsheets that disagree.
